Exhibitors Entrance criteria

Visitors attending the Expo do so because they are interested in a wide variety of healthy, natural and green products free from artificial 'nasties' and produced with care to the environment.

They have told us they want to easily identify the products on display by what they represent, such as certified organic, fair trade or allergy free and trust in these products.

Due to the growing interest in sustainable, ethical and wellness products there are now many certifications, descriptions and labels in the market.  To easily identify and cover the areas of most interest we have introduced a simple stand coding scheme with corresponding entrance criteria to meet the needs of your customers.

All exhibitors must comply with the following coding scheme and entrance criteria.

Stand Coding Scheme

There are 6 key identifications that can apply to products at the show.  Exhibitors must choose the ones that represent their products and ensure they comply with the corresponding entrance criteria listed below.

  1. Certified Organic (orange)
  2. Fair Trade & Sustainable (blue)
  3. Green (green)
  4. Allergy Free (yellow)
  5. Artisan (red)
  6. Wellness (purple)

A coloured circle, provided, will be displayed on the stand fascia board with the relevant words to identify the nature of the products on the stand.  A stand may have several identifications for its products and in these cases the circle will be split into segments with the appropriate colours and words.  Where a stand has no fascia the circle will be clearly displayed elsewhere on the stand.

These identifications will be advertised prior to the show on your exhibitor listing on the website as well as at the show.

Stands are audited during the show and non-complying products will need to be removed from display. If you have any questions about which category you fall into or what is required please email lena@shevents.com.au.

Entrance Criteria

All products must comply with the following general criteria and the relevant specific category criteria.

  1. All ingredients are declared on the product labeling where possible
  2. A use-by date is displayed on the product where possible
  3. The product is in compliance with all relevant legislation
  4. All products labeling themselves as organic on the packaging must be certified organic.  Exceptions are along the lines of contains organic ingredients, % of organic ingredients etc.  If in any doubt please contact lena@shevents.com.au for clarification, as all products not complying will have to be removed from the stand.
  5. Products will be randomly inspected by an independent auditor to ensure they comply with the show's criteria.  Products not complying must be removed from the stand immediately.  The decision of the auditor and/or organisers is final and non-questionable.  No monies paid by the exhibitor will be refunded if a product must be removed.  It is important that you ensure at the time of booking that your products comply.  If you have any questions please contact lena@shevents.com.au.
  6. There are 6 identification categories with relevant entrance criteria listed below.  Products exhibited at the show must fall into one or more of these categories and ensure they comply with the relevant criteria listed for each one chosen.  It is recommended that you only use the ones that are easily substantiated.

1. Certified Organic

Products in this category must be certified by an IFOAM recognised certifying body or considered appropriate by the organisers.  They may be fully certified, in-conversion or a certified registered product.

  • Products must be labeled in line with current standards and displaying their certification where possible.
  • Current certification certificates valid for the period of the expo must be brought available for inspection at the show.  (Do not send them to us prior to the show).
  • A Product & Sampling form must be submitted prior to the Expo.  Download below.

2. Fair Trade & Sustainable

Products in this category must be certified by an Iseal Alliance member such as FLO, Rainforest Alliance, Marine Stewardship Council or as considered appropriate by the organisers.

  • Products must be labeled in line with current standards and displaying their certification where possible.
  • Current certification certificates valid for the period of the expo must be brought available for inspection at the show.  (Do not send them to us prior to the show).
  • A Product & Sampling form must be submitted prior to the Expo.  Download below.

3. Green

Products in this category includes every day and specialty environmentally friendly products from beauty to fashion to kids to home to garden to buildings.  They are not certified products.  They are not food & beverage products.

  • All products and services exhibited or referred to on the stand must clearly demonstrate their positive environmental benefits (no green washing!).  
  • An Environmental Product Declaration (EPD) must be submitted together with the product and sampling form (contained in the exhibitors manual) and any supporting evidence to the organisers ideally at the time of booking or within 1 month of booking, either by emailing lena@shevents.com.au or fax to 02 9012 0583.  The organisers will review the EPD within 2 working days of receipt and reserve the right to refuse a product to exhibit at the show if they feel that it does not fit the criteria.  If the products are refused and as a result of this the exhibitor can no longer take part in the show, the stand deposit will be refunded only on the basis that the EPD had been submitted within 1 month of booking, which is determined as the day the deposit was paid.
  • If the product or service has been exhibited at the show previously, and has not changed in anyway, then check to see if we still have your previous EPD as this can be used again. 
  • No products making reference to organic on product labeling, marketing material or on stall material (other than as part of an ingredient list) are allowed at the show unless they are certified.

4. Allergy Free

Products in this category must be of a specialty nature, genuinely providing an alternative for people suffering from food intolerances and allergies such as gluten free, dairy free, nut free etc. or other non-food products that are suitable for allergy sufferers.

They must comply with one of these 3 options:

  1. Certified organic (as described above) or,
  2. Fair trade & sustainable (as described above) or,
  3. Complete and sign the appropriate Environmental Product Declaration either for food or non-food stating that it contains no added synthetic chemicals or GM inputs and has been produced by sustainable and ethical methods and submit with the Product & Sampling form.  Download forms below.

Only products that the organisers genuinely feel meet the criteria and the values of the show will be accepted.  Their decision is final and non-questionable.

5. Artisan

Products in this category must be of a specialty or gourmet nature, made with passion and integrity, under small-scale production methods, by highly skilled producers.  Examples of artisan could involve rare breeds or heirloom fruits and vegetables or specialty cheeses or arts and crafts.

They must comply with one of these 3 options:

  1. Certified organic (as described above) or,
  2. Fair trade & sustainable (as described above) or,
  3. Complete and sign the appropriate Environmental Product Declaration either for food or non-food stating that it contains no added synthetic chemicals or GM inputs and has been produced by sustainable and ethical methods and submit with the Product & Sampling form.  Download forms below.

Only products that the organisers genuinely feel meet the criteria and the values of the show will be accepted.  Their decision is final and non-questionable.

6. Wellness

Products in this category include services and goods related to natural wellbeing and alternative therapy modalities such as chiropractors, yoga equipment, water filters.

They must comply with one of these 3 options:

  1. Certified organic (as described above) or,
  2. Fair trade & sustainable (as described above) or,
  3. Complete and sign the appropriate Environmental Product Declaration either for food or non-food stating that it contains no added synthetic chemicals or GM inputs and has been produced by sustainable and ethical methods and submit with the Product & Sampling form.  Download forms below.

Only products that the organisers genuinely feel meet the criteria and the values of the show will be accepted.  Their decision is final and non-questionable.
